Grayson County: 2019 Youth Agrobotics Challenge

The Grayson County 4-H Program is excited to announce they will be hosting a Youth Agrobotics Challenge on Saturday, March 2nd following the Texoma Exposition and Livestock Show. Travis County  will be hosting a Junior/Intermediate Recordbook Overview for 4-H members in grades 3-8 on Monday, January 28th, as the educational program of our County Council Meeting.  The Council meeting will start at 6:30 PM with the recordbook informational starting at 7 PM.  The workshop will be held at the Travis County Extension Office at 1600-B Smith Road.

REMINDER: 2019 Rodeo Austin School Tour Sign Ups - Due 1/23/19 at Noon

We have received the dates for youth in grades 9-12 to serve as a school tour guide at the Rodeo Austin show.  Youth will need to commit their entire day from 8 AM to 2 PM to serving in this leadership role and must be academically eligible to be excused from school in February.  
Youth must register for their day of choice by noon on Wednesday, January, 23, 2019. Once you sign up, you are fully committed to that date, so be sure to triple check your schedule before signing up.

2018-2019 TCYS & Travis 4-H Consumer Decision Making Results

Congratulations to all of our participants!!  We are incredibly proud of everyone's performances - y'all did a great job showing sportsmanship and on your reasons.

Please remember that everyone was VERY close on placements and reasons, so do not get discouraged if you didn't get the placing that you wanted at the contest.  Your scores showed us that you all are on the right track and are learning some great skills to help make you successful in life!


Refashion Retreat

Refashion Retreat is January 25-27, 2019. Early registration ends on January 11 at 11:59 pm, there will be a 10% late fee from January 12-18th. Each camper is required to have an adult chaperone for this retreat.
Participants will shop at the Brownwood Good Samaritan Ministries and refashion that outfit throughout the weekend. Participants will also be guided through some fashion and interior design techniques.

Hey all!  Happy Wednesday!  We are about 1 week away from check in and we wanted to pass on the follow-up reminders and information that has been passed on to us, as promised.  Please be sure to read through everything carefully and let us know if you have any questions!

Please remember that all documents mentioned below are available for download online at http://traviscountyyouthshow.org/livestockshow/.  Direct Links to the documents are included below.

COUNTY EXTENSION AGENT SCHEDULES:
  • Mellanie will be out at the Expo Center starting Wednesday night for Herdsman setup, and then from approximately 8 AM to 9 PM Thursday through Saturday.  She is usually around the show ring or the Show Barn Office, or she can be reached at 405-808-5407.
  • Noel will be out at the Expo Center Thursday through Saturday during the livestock showing portions of the show; he can be reached at 830-279-4976

REMEMBER TO HELP “MAKE THE BEST BETTER”
As we enter the show season, please help us set a positive example for our youth by being respectful and polite to each other (and show volunteers).  If you experience any issues or have any questions, please bring them to Mellanie’s and Noel’s attention so they can help assist you.  Thank you!

 HERDSMAN ENTRY FORM
  • The Herdsman Entry Form is posted online and is available at http://traviscountyyouthshow.org/docs/52590_2019%20Herdsman%20Entry%20Form.pdf
  • Entry forms will be due January 16, 2018 at 7PM with a payment of $20/species, to be paid by the club at the time of entry; payment is to be submitted to Stephanie Clutter in the Show Barn Office.
  • If payment is not included with entry form, the club will be disqualified

 ENTERTAINMENT
  • Friday Night – Goat Roping is scheduled
  • Saturday Night – A Dance with DJ will take place in the banquet hall following the steer show.

FARM BUREAU SPONSORED T-SHIRTS
This year farm bureau has sponsored t-shirts for all exhibitors, we will hand these out from 3pm-7pm in the show barn on Thursday. They will be handed out first come first serve and once a size is gone it is gone. We will not order more, or contact someone to trade. As people pick up shirts, we will cross their name off the list. If an exhibitor is dual entered through 4-H and FFA, they will be found under their FFA club.

YOUTH FAIR CHECK-IN GUIDELINES & UPDATES

  • Please go over these instructions so you know what to expect when checking in your projects
  • Sale Declaration deadlines for Youth Fair are DUE Friday, 1/18/19, by 9 pm. They should email their declaration to TCYS@live.com by this point in time. Please note this is only for exhibitors who had 3 or more youth fair entries make grand champion. If they have 1 or 2 entries make grand champion, there is no need for them to declare. Per the rule book, those entries will be required to sell. 

OTHER LIVESTOCK UPDATES
  • Eligibility – please remember that all exhibitors (including ring assistance for Fryers), must be shown in accordance with the TCYS "Exhibitor Eligibility" rule 3, located in our general rules. Meaning that they must be in good standing and a current member of a Travis County 4-H or FFA. This also applies to anyone assisting with showing during the Grand Champion Drive.
  • Weight breaks will be posted as soon as possible on Thursday. Please do not ask before 5pm on the day of check in. Also, parents (yes, parents) please remember to not crowd around the people when they are posting the breaks. If they can feel your breath on the back of their necks, you are too close. :)
  • Steer Shavings - TCYS is selling pelleted bedding for steers at the show and will  not allow exhibitors to bring their own/outside bedding to the show this year
  • Heifers do not check in until Friday, but they may come and get settled in on Thursday with your club, during the normal check in time. Otherwise, they may come during Check in Time for Heifers on Friday from 4-7PM.
  • Rearranging the Show Layout - Yes, the rumors are true. We are going to be showing all species in the large arena (aka steer arena). This means that the layout of the barn will be different from what you are used to. Please be mindful of this change and open minded during the show. We are excited to have everyone in one space. This will allow for more viewing areas for the parents, less running around for the photographer, drug testing, and operations. Regardless of this change, please remember that there will be No viewing area behind the stage
  • Parade of Champions: Anyone who wins Overall Grand Champion, Overall Reserve Champion, Sr., Int. or Jr. Showmanship will be recognized between the Heifer and Steer show on Saturday. If they would like to participate, they can come to the stage during heifer showmanship. Please direct any questions on Parade of Champions to me (please have them text me, I'll be able to answer faster). 
  • Belt Buckles: Before any exhibitor receives their belt buckle, they will have to write their thank you note and turn it into the show barn office.
  • Sale Declarations – In the event that an exhibitor has more than 2 projects eligible to sell, it is the exhibitor’s responsibility to notify the Show Office as to which 2 projects will be sold.  This notification needs to be made between 8:00 AM and 12:00 PM on Sunday (January 20, 2019) in the Show Office. In the event notification is not made, TCYS reserves the right to designate which projects sell.  It is the exhibitor’s responsibility to check and verify the Preliminary Sale List and the Final Sale Order.

 AUCTION
  • Updates & Sale Order – Mellanie will have a separate auction email to send out (probably Sunday & Monday, after the show with the tentative sale orders).
  • Buyer Registrations – As of right now, all buyers will have to re-register, this will be a process that will happen yearly. This is to ensure we have up to date information. This form is live now on the website. Your Booster clubs and buyers only may also pre-purchase auction wristbands for faster entry into auction now through Tuesday, January 22nd.   • Exhibitors and parents will buy their entry at the door. Please note that there will not be a free viewing area. Anyone who enters will have to pay the $25/entry fee.

2019 Big Texas Youth Livestock Scholarship

Applicants must meet all of the following requirements:

1. Applicants must have participated in one or more competition, all held at the State Fair of Texas in Dallas. Other events or Texas livestock shows do not qualify an applicant.

2. Applicants must graduate from a Texas high school during the year of application (2019).

3. Applicants must attend an accredited college or university in the state of Texas. This includes accredited junior colleges and community colleges.

2019 TCYS Reminders


This message has also been sent to all active Travis 4-H participants in 4-H CONNECT.  If you are not participating in the 2019 Travis County Youth Show, please disregard this email. 



Happy New Year!!!  The 2019  Travis County Youth Show (TCYS) is only a couple of weeks away!!!  We are so excited to see all of you there!

We wanted to send out a few general reminders for everyone as we prepare for the show and contests.  I will also send out more specific reminders for those who make auction as we receive the results of the show, as well as reminders for upcoming contest participants a little later on. 

TCYS takes place at the Travis County Expo Center located at 7311 Decker Lane; Austin, TX 78724.  We use Gate 1 off of Decker Lane to enter/exit the facility for this event.  The TCYS website is www.traviscountyyouthshow.org; the website itself has a quite a bit of information and resources.  The majority of the resources you will want to access will be listed under the “Livestock” tab and located at the bottom of that page. 

 This is a bit of a long email to help cover items for both our new and super experienced families.  Please bear with me and read through it to see if you have any other questions.  The items covered here are:

TCYS Rulebook:
The most current copy of the TCYS rulebook as of today is available HERE.  Please make sure that you have read through all of the rules applying to your entries.  The TCYS officials will follow the rules as they are outlined in the rulebook, so it is best to know what is expected ahead of time. 

Please remember that TCYS is facilitated by volunteers; these individuals are taking time off of work (and working LONG hours) to provide this optional opportunity for our youth.  They are required to follow the rules as written and published for the current year.  If you find a rule you disagree with during the show, TCYS will accept recommendations for rule changes AFTER the completion of this year’s show.  I will send out the link once it has been activated with any appropriate instructions.  Thank you for helping us set a positive example for our youth!

Eligibility Checks:
Eligibility letters are being sent to the schools this Thursday and Friday; we will let you know if we have not received a response from your school by Friday, 1/11/19.  We encourage you to be proactive and check your grades with your school if you have any questions or concerns.  If anyone is marked as “ineligible” according to a school, we will notify you via email.  The timeliness of this notification will depend on when the school lets us know.  Eligibility must be maintained from the check-in of the show through the Auction date.

Youth Fair Reminders:
Check in begins on Thursday, January 17, 2019 from 4:00 PM to 7:00 PM at the Banquet Hall (the smaller building in front of the open air barn as you enter the fairgrounds from Gate 1).  Parents can check in the projects without the youth member being present.

  • The guidelines to help you check in to youth fair are being updated and will be sent out later this week.  
  • Project worksheets are located on the TCYS website and are available HERE
  • Preserved Recipe worksheets are available on the TCYS website and are available HERE
  • If you have entered a baked good, please remember to bring your approved and watermarked recipe with you to check in.
Livestock Reminders:
Check in begins on Thursday, January 17, 2019 from 7:00 AM to 10:00 AM for steers, goats, lambs, and swine.  Rabbit check in is from 11:00 AM to 1:00 PM and Poultry check in is from 4:00 PM to 6:00 PM.  Please be patient as everyone will be weighed and classified off the trailer.  If you are in line, you will be checked in if check in continues after the designated time. 

Pen assignments are currently being finalized; we will be sending them out as soon as we receive them. 

Some helpful reminders & resources:
  • Herdsman set up is scheduled for Wednesday, January 16, 2018 from 4:00 PM to 8:00 PM; shavings will be made available at this time.  Instructions are available in the current rulebook and entry forms will be available at later this week.  Entry forms need to be completed and turned in to the TCYS Livestock Office during the times listed on Wednesday night.
  • Substitution forms will be accepted to exhibit animals for any circumstance that falls within the acceptable circumstances outlined in the TCYS rulebook.  Forms are available HERE and must be completed and turned in to the appropriate Superintendent at least 1 hour before the show.   This request must be made on the official Travis County Livestock Show Exhibitor Substitution Form provided by the Department Superintendent.  Junior Superintendents are not allowed to be utilized as substitute showmen if they exhibit that specie.
  • Animals will be dismissed on Sunday, January 20, from 7:00 AM to 10:00 AM.  Appeals for an earlier dismissal in the case of emergencies may be made to the Livestock Superintendent, Mr. Carl Dahlstrom, and will be addressed on a case-by-case basis. 
  • The barn will close from 12:00 AM to 6:00 AM; during this time there will be a patrol to ensure the safety of the animals during this time. 
  • IMPORTANT weight break reminders: weight breaks may be posted as early as 5:00 PM on check-in day.  Please do not ask about a status update on weight breaks until this time so they can stay focused and on task to accomplish this in a timely manner.  Be sure to stand back so they have enough space to actually post the weight breaks, or this process will be further delayed. 
Auction Declaration Reminders:
  • Youth Fair: Youth Fair Class Champion items are required to sell at Auction.  If an exhibitor has two (2) or more class champions, they must declare which of the two (2) projects they want to sell at the youth auction by Friday, January 18, 2018 at 9:00 PM to tcys@live.com.  At that time, the Reserve Class Champion of the class they opted out of will receive that auction slot. 

  • Livestock: The Grand Champion and Reserve Grand Champion from each species are required to sell at Auction (this is a ribbon sale only – youth will keep their animals).   Exhibitors with more than one (1) livestock project qualifying for Auction may sell up to two (2) animals (if applicable) from different divisions; Auction Declaration instructions for livestock will be posted with the weight break information at the show and is outlined below.
  • In the event that an exhibitor has more than 2 projects eligible to sell, it is the exhibitor’s responsibility to notify the Show Office as to which 2 projects will be sold.  This notification needs to be made between 8:00 AM and 12:00 PM on Sunday (January 20, 2019) in the Show Office. In the event notification is not made, TCYS reserves the right to designate which projects sell.  It is the exhibitor’s responsibility to check and verify the Preliminary Sale List and the Final Sale Order.
